Every booth or selfie mirror we send travels with an attendant who runs the session and hands over prints on the night, which matters when the SU social budget is paying and someone has to account for it. For the rodeo, plan on roughly 20ft by 20ft of clear floor and a ceiling height that takes the rider at full buck, and tell us if the room has pillars.
Outdoor kit, the climbing wall, laser tag, the assault courses and laser clays, goes out with an anemometer and stops at the 24mph wind cutoff, so a summer ball or sports day on grass needs a weather plan. The 28' by 58' marquee that covered the Sparsholt freshers stalls needs flat grass for its anchor pins, which is worth knowing if the fair outgrows the hall.

Colleges and student unions mostly book through an events office or a procurement route, so we send the insurance certificate, the risk assessment and the method statement with the quote for the file. Where under-18s are on the guest list, the enhanced-DBS checks our crew hold are the detail the safeguarding lead asks for first, and multi-day applicants weeks are routine work for us. Joanne and David Morris have run the firm from its Havant unit since 2002, the electrical kit is PAT tested each year, and we're on the phone Monday to Saturday 9 to 5 and Sundays 10 to 4.
The A3 and M25 run means we firm up timings and access before the date, because a controlled parking zone or a tight loading bay changes how the van works.
