School Event Hire

School event hire covers reward and end-of-term days, Year 6 leavers events, sports days, school fairs and, for older year groups, proms. The first choice is not usually the theme. It is how the day runs: an open session for the whole school, year groups moving through timed sessions, sports-day stations, fair visitors coming and going, or an evening event indoors. That is what decides whether the queues fit the timetable and whether the equipment fits the site.

Reward days and end-of-term events

Recent school reward days show how the mix changes from one site to another. A Havant reward day used the Big Red Assault Course and inflatable axe throwing. An end-of-year reward day in Southampton used Laser Tag. At a repeat booking in Twickenham, the school had the Big Red course and the Football Speed Cage.

Throughput needs working out from the school timetable, not guessed from a photograph. The Boot Camp Challenge has two parallel lanes. The Interactive Play System takes two to four players and runs one-minute rounds, the Sweeper takes eight in a round, and Laser Tag takes up to ten in a game. Briefing and changeovers still take time, so tell us how many pupils should have a turn, how long each group has and whether classes will rotate or join one open queue. We can then suggest a mix rather than promise a number the timetable will not support.

The age or year group matters as well. The Sweeper is listed for ages ten and over, Laser Tag for ages six and over, while the Boot Camp Challenge and Big Red course are suitable for children and adults. We will check the actual group against each product rather than treating "school age" as one useful measurement.

Year 6 leavers events and school proms

For one Year 6 leavers evening at a London prep school, we supplied the Surf Simulator and the Sweeper. Both are run by one of our operators throughout the hire, which leaves the school staff to run the event rather than the controls. Other prep-school bookings have used the Boot Camp Challenge, zorbing and the Sweeper in Winchester, and zorbing with the Interactive Play System at Walhampton Preparatory School. These are examples of combinations we have actually supplied, not a fixed package for every school.

Proms need a different shortlist from a field-based reward day. The Magic Selfie Mirror and green screen photo booth both print at the event and come staffed, while the broader photo booth range explains the floor space, cover and power each option needs. Tell us the room layout, access and evening timings before choosing one, particularly if the venue is licensed or has a fixed setup window.

Sports days and school fairs

A sports day may need scored stations, head-to-head races or entertainment alongside the school programme. The Football Speed Cage records each shot speed, the Boot Camp Challenge gives two pupils parallel lanes, and the Interactive Play System keeps a visible score. Which one is useful depends on the groups, the available session time and the part of the field or hall the school can give it. The sports and competitive games and assault course range give the wider choice once those details are known.

Zoe Eastwood's review records one successful school sports day for SEN pupils and says Dave was "efficient, friendly and nothing was ever a bother". That is evidence from one booking, not a claim that every activity is suitable for every pupil. Tell us how the school plans participation and any constraints the staff want us to work around, and we will discuss the individual equipment rather than make assumptions.

For a school fair, expected attendance and the way activities will be run matter, particularly when visitors can arrive across a wider window rather than in class groups. Elizabeth Modgill wrote after an inflatable school-fair booking that Joanne and the team listened to what the school wanted, made helpful suggestions and were well organised. A Fairground Bouncy Castle is one mixed-age option, while a large course is a different sort of draw. Tell us whether the activities are free, ticketed or timetabled and we can work out whether one main inflatable or several shorter-turn activities makes more sense.

Site, weather and school paperwork

Before we settle on the equipment, we need to know whether the event is indoors or outdoors, the usable setup area and surface, the route from the delivery vehicle, and whether there are gates, steps, slopes or restricted delivery times. Power requirements vary between products, so tell us what sockets are available and roughly where they are. For an outdoor event, tell us what the school intends to do if the weather changes. Every outdoor inflatable comes with an anemometer and a written wind procedure, including shutdown at 24mph, but the site and forecast still need checking for the particular booking.

Some of the equipment is always operator-led. The Surf Simulator, Sweeper, Laser Tag and zorbing all come with our staff throughout the hire, and other items can be staffed on request. Every member of our team is enhanced-DBS registered, first-aid trained and RPII-examined. Our inflatables are PIPA-tagged and inspected annually by our in-house RPII inspector, and electrical equipment is PAT-tested.

We carry £10 million public liability insurance, and the insurance certificate, equipment risk assessments and method statements can be sent for the school's procurement file. We have run Monster Event Hire since 2002 and now work from our commercial unit in Havant. The fleet and the crew are our own, rather than equipment and operators brought in through an agency. We cover Hampshire, Surrey, West Sussex and London.
