Student Event Hire Southampton

Student event hire in Southampton runs off two institutions, the University of Southampton and Solent University, and between them they fill a calendar from September welcome days through to the summer graduation events. We've worked at both over the past year, on accommodation welcome days, a Wild West evening, a staff party and a Solent freshers welcome, so the notes below come from jobs we've run ourselves. The city sits about 22 miles west of our Havant yard, M27 most of the way, which puts a campus or city-centre booking within an easy run.

What we've run for the two universities

The University of Southampton side of the diary has leaned on welcome days and student accommodation socials. In September 2025 we spent a welcome day with students at Kimber Residence on St Marys Place, running a variety of activities for the arrivals, and in September 2026 we were back at the Lucia Foster Welch halls for another welcome social where students settling into new accommodation took turns on the rodeo bull and the high striker. One of the students there described the setup as looking great with a team friendly and professional throughout, which is the welcome we'd want your arrivals to get. Accommodation teams and the students union both book this kind of day, and what they want is kit with short rounds and a visible score, because nobody lingers when there are a hundred people behind them.

The evening bookings have gone Wild West twice now. The University of Southampton had us in May 2026 for a themed evening with the rodeo bull as the centrepiece, and Solent University's freshers welcome in September 2026 ran the bull alongside carnival games, the cactus lasso and the inflatable axe throwing. Solent freshers arrive wanting something to do as a group, and a staffed ride with a queue and a running commentary gives them exactly that. The July 2026 end-of-year staff party at the university used the human table football, the giant buzz wire and the high striker, which is a reminder that an events office books for colleagues as well as students.

Matching the kit to the calendar

September belongs to the freshers fairs and welcome days, where the winners are the plug-in games: the dance machine, Under Pressure, the arcade machines, interactive darts and the Batak Pro, all of which run off a standard 13amp socket and turn people round in a minute or two. A photo booth earns its place here too, and ours go out with an attendant and print on the night, so the SU or the events team never ends up running it themselves. If the fair sits out on a lawn, the 28' by 58' marquee we put over the Sparsholt freshers stalls is the pattern to copy, and its anchor pins need flat grass.

The ball season runs December, February, then the summer stretch from May to July. Evening balls suit the rodeo bull and the surf simulator, and the rodeo works indoors as long as the ceiling height allows and there's roughly 20ft by 20ft of clear floor to give it. Summer balls and sports days with outdoor space take the climbing wall, laser tag, the assault courses and laser clays, and every outdoor inflatable travels with an anemometer and the 24mph shutdown rule.

Leavers and graduation events round out the summer term, and a booth at a graduation gives people and their families something to do between the ceremonies. Welcome days repeat into October as late arrivals settle in, and applicants days come round in spring, where multi-day bookings are routine for us.

Rooms, paperwork and the run in

Common rooms and SU bars are 13amp territory, and that suits everything electronic we hire. Colleges and universities mostly book through an events office or a procurement route, so the insurance certificate, the risk assessment and the method statement can go in the file at quote stage. Where an event includes under-18s, the enhanced-DBS registration held by every member of our crew is the first thing the safeguarding team asks about.

We own the whole fleet outright, with nothing sub-hired, and the public liability cover runs to £10 million including the licensed-premises extension the city venues look for. The inflatables are PIPA-tagged and inspected every year by our own in-house RPII inspector.
